What we collect
- Email address — used to send the signing invitation and email one-time codes when that method is enabled.
- Phone number — when mobile verification is used, the mobile number you enter and agree to, so we can text a one-time passcode. We save that number and the time you consented for later signing requests.
- One-time passcodes (OTP) — short-lived codes we generate and send; we verify what you enter and do not treat the code itself as a lasting profile attribute.
- Signing and audit metadata — events such as view, OTP verify, consent, and signature, with time, IP address, and browser user-agent, so the completed agreement is attributable and tamper-evident. See also our safety disclosure.
- Document content — the PDF and related envelope data needed to present, execute, and store the agreement.
Why we use it
We use this information only to operate VoltScape Sign: identify the invited signer, authenticate access to the envelope (including SMS or email OTP), record electronic consent and signatures, keep an audit trail, and deliver executed copies to the parties.
SMS and Twilio
When mobile verification is enabled for an envelope, you enter your own mobile number on a VoltScape Sign screen and tick an unchecked consent box. We then text a one-time passcode for that signing request from toll-free number +1 (866) 241-4031. Message and data rates may apply. Reply STOP to opt out or HELP for help. SMS delivery is processed by Twilio, Inc. on our behalf. Twilio receives the destination phone number and the message content needed to deliver the OTP. Twilio’s role is limited to that messaging service; VoltScape remains the operator of Sign.
Retention
OTP codes are short-lived (on the order of minutes) and expire after use or timeout. Signer contact details, envelope records, executed documents, and audit events are kept for as long as needed to provide the Sign service, meet business and legal obligations, and support disputes about a completed signing — then deleted or archived according to our internal retention practices.
Sharing
We do not sell personal information. We share data with service providers that help us run Sign (for example Twilio for SMS, email delivery, hosting, and storage), and with other parties to an envelope when that is required for the transaction (for example other signers or CC recipients receiving the executed PDF). We may disclose information if required by law.
Your choices
You can decline SMS by not providing a phone number or by replying STOP to opt out of further texts from that program. If you need a different authentication path or have questions about data we hold for a signing, email paul@voltscape.co.
